The Osher Lifelong Learning Institute at the University of Arizona (OLLI-UA) is a membership organization providing opportunities for intellectual, cultural, and social experiences for adults 50+ and older. OLLI-UA serves 1,000+ members in both Tucson and Green Valley, with in-person and online classes, social activities, special events, and field trips. Thousands of hours of programming are offered each year.
Under the direct supervision of the OLLI-UA Program Manager, the Program Coordinator plays a pivotal role in facilitating and supporting the day-to-day administration of the program. The Program Coordinator's primary responsibilities will include online program management, marketing assistance and communications, reporting and data analytics, website content management, volunteer/member support, and assisting with event planning and execution.
Occasional evening and weekend work is required, and reliable transportation is a must as travel to both campus locations will be required.

Duties & Responsibilities Program Support (Online and In-Person)
Provide daily support, guidance and assistance current and prospective members of OLLI-UA, members of the community and University of Arizona faculty and staff.
Assist in program planning, implementation, and monitoring, working closely with the OLLI-UA staff team and volunteer leadership.
Assist in coordinating OLLI-UA program activities, including the management and oversight of each semester term rollout, and ensuring that objectives and timelines are met. Associated tasks may include:
Coordinate the scheduling of key semester dates for each OLLI-UA campus.
Coordinate a database driven curriculum proposal submission and review process utilizing electronic web forms and tools.
Develop master class schedules for each term.
Oversee class registration setup and administration.
Attend OLLI-UA committee meetings as ex officio member as requested.
Develop and ensure streamlined operational practices, sharing best practices across all OLLI programs.
Generate and maintain accurate membership and registration information for the OLLI-UA program database.
Train volunteer leaders in the use of technologies and tools used by OLLI-UA, including Google Drive, MailChimp, Zoom, Registration System.
Interpret University policies and procedures and ensure compliance.
Perform other job-related duties to back up OLLI-UA staff or as assigned by the OLLI-UA Program Manager.
Member Services, Communication and Outreach
Work with OLLI-UA staff, volunteer leadership, and members of the broader community, to develop and promote OLLI-UA programs and volunteer activities, learning opportunities and special programs.
Generate marketing communications and materials for use at the campus level, including bulk Mailchimp emails, class catalogs,
registration forms, member nametags, evaluation reports, membership directories, and other tools.
Assist in providing phone and email support for current and prospective members, which may include assisting with membership purchases, class registration, UA CatCard/DCC requests, and forgotten usernames and passwords.
Update content on OLLI-UA CMS website and registration system.
Create and maintain UA branded e-newsletter distribution lists and templates using Mailchimp.
Provide on-site membership purchase and class registration support for new and returning members at Discover OLLI-UA and Help Desk events.
Assist with marketing, membership and fundraising analysis and reporting; generate reports to track and measure impact and success of marketing and recruitment efforts.
Help develop volunteer recruitment initiatives, tracking and recognition programs.
Assist in recruiting new members, volunteers, class leaders, and community partners through membership and outreach initiates and offsite promotional events.
Administrative Support
Draft, compile, analyze and submit reports to leadership and UA Administration, as assigned.
Act as backup for financial reporting, processing of invoices and reimbursements through UAccess Financials.
Assist and help maintain donor database, tracking gifts to OLLI-UA in annual giving campaigns.
Assist as needed with CatCard/DCC year-end rollover, ensuring all DCC rollovers were active within the fiscal year.
Act as back-up when other staff member are absent.

Strong skills in the use of computers, systems, business software, and office equipment including the MS Office Suite (Word, Excel, Outlook) and Zoom.
Comfortable with learning new technology and open to change.
Proficient in MS Excel spreadsheets, formulas, functions and data analysis / analytics reporting techniques.
Ability to prioritize tasks and responsibilities based on program needs, including managing and tracking multiple tasks simultaneously.
Ability to communicate professionally with a variety of stakeholders.
Excellent verbal and written communication skills.
Ability to manage stress during high-peak registration periods.
Ability to build rapport and foster positive relationships with diverse constituencies.
Ability to demonstrate accuracy, attention to detail, thoroughness, and reliability in the performance of job responsibilities.
Bachelor's degree or equivalent advanced learning attained through professional level experience required AND minimum of 3+ years of relevant work experience OR,
Any equivalent combination of education or work experience.
Preferred Qualifications Demonstrated experience in business analysis, training and project management.Demonstrated experience and comfort with data analytics processes and tools.
Experience working with adult learners.
Experience in marketing, graphic design, social media.
Passion for lifelong learning and/or mission-driven work.
